Event vs task
The Calendar tab sits next to Tasks, Goals and Habits. Its timeline shows your events and every to-do you’ve given a time.
Event
A block of time you reserve: a meeting, a workout, a call. It has a start, an end, a color and a repeat, but no checkbox.
Task and habit
Something you need to do and check off. It shows up in the calendar by itself if it has a time.
Creating an event
Tap + in the bottom right corner. With PRO you first choose “Event” or “Task”, without it the event form opens right away.
- Title and color
Color works as a label in the grid: work in one color, personal in another. Blue by default.
- Start and end
The date comes from the selected day. An event lasts an hour by default. If you move the start, the end moves with it and the duration stays the same.
- Details
Life area, repeat, reminder, link and note are optional. Fill in what’s useful.
- Save
The event lands in the grid, and its reminder is queued up as a notification.
Event fields
Start with a title and add the rest as needed.
- 🎨
Color
Seven colors. In the grid only events are colored, tasks and habits show as gray cards.
- 🌅
All day
Removes the time: the event becomes a bar above the hour grid. To stretch it over several days, set the end date first, then turn on the switch.
- 🧭
Life area
Event minutes count toward the balance radar. The field is visible if Life Areas is turned on in settings.
- 🔗
Link
To a call, a document or a map. Opens with one tap on the event screen.
- 📝
Note
An agenda, an address, what to bring.
Repeat
No need to add a regular meeting every week. Repeat turns one event into a series, starting from its start date.
- 🔁
Every day
Morning routines and daily stand-ups.
- 📆
Days of week
For example, Monday, Wednesday and Friday. Picking all seven days turns it into “Every day”.
- 🗓️
Days of month
For example, the 1st and the 15th. In a month without that date, say without the 31st, there’s no repeat.
- 🎂
Every year
The same day and month: birthdays, anniversaries.
- Without a repeat the event stays on one day. That’s the default, and the field says “Turned off”.
- A series never ends: repeats have no end date. If you no longer need the series, delete the event and it disappears from every day.
- Edits apply to the whole series: you can’t change a single occurrence. For an exception, create a separate event on that date.
- Repeats don’t go into the past: the series starts from the event’s start date.
Reminders
An event has one reminder, picked from preset options. The notification shows the event title, and tapping it opens the app.
- Repeats with the event: for a weekly meeting you get a notification before each one.
- If you change the event time, the reminder moves by itself.
- “Without reminder” on the picker screen turns it off.
- Each device schedules reminders on its own, so the notification arrives on both your phone and your tablet. The web app only saves reminders: the notification comes to your phone.
View modes
You can view one calendar in four ways. The mode is switched with the button on the right above the grid, and the app remembers it.

An hour timeline for one day with a mini calendar on top. A red line marks the current time, and the grid scrolls to it by itself.
Pinch with two fingers to stretch the grid up to three times, and the zoom is remembered.

Several days side by side in one grid. How many days you see, from 2 to 7, is set with the settings button next to the switcher.
All-day events are bars in the header, up to three, the rest collapse into “+N”. PRO

A 7×6 grid, weeks start on Monday. A day shows up to three entries, the rest collapse into “+N”.
Tap a day to open it in Day mode, where you can open events and check off tasks. PRO

The next 7 days from the selected date, day by day. Empty days are hidden, so you only see what’s planned.
Tasks and habits are checked off right in the list.
- The selected date is shared by all modes: if you flip to another week, Day, Month and List move there too.
- Overlaps: entries that overlap in time split the width into columns.
- Dots under dates in the mini calendar mark days with something planned, including tasks and habits.
- The view settings button, “Show” block: you can hide tasks or habits in all modes. The setting is stored on the device. iPhone, iPad and Mac only
Event screen
Tap an event to open its card: how long until it starts and everything you filled in.
- Time and countdown: “In 19 minutes” before the start or “Now”.
- Title and life area on a bar in the event’s color.
- The link opens with a tap, so you can start a call right from here.
- Repeat, reminder and note are in the rows below.
- “Edit” at the bottom opens the event form.

Tasks and habits in the calendar
Tasks and habits with a time appear in the grid next to your events. That way you see how much of the day is already taken.
Tasks
They appear if the task has a time. The card height matches the duration, or 30 minutes if there’s none. Goal tasks are here too, tasks from archived lists are not.
Habits
Habits scheduled on days of the week with a set time appear on their days and within their duration. “N times a week” habits don’t go into the calendar: they have no specific days.
- Checking off: the checkbox on the card in Day, Week and List. For a repeating task only that day is closed, for a habit with a goal a window opens to enter the value.
- Tapping a card opens the task or habit itself on top of the calendar.
- A task card shows priority, life area, labels and a repeat icon, a habit card shows the life area emoji.
Moving and menus
You can change the time of an event, task or habit right in the grid, without opening the form. Works in Day and Week modes.
- Move: hold and drag
Press and hold a card and drag without letting go. A label next to it shows the new time, in 15-minute steps. Near the edge the grid scrolls by itself, and in Week mode the side edge flips to the next day, moving the event to another day.
- Duration: drag the bottom
Put your finger on the bottom edge of the card and drag. Very short cards don’t have this zone, so change their duration from the menu.
- Menu: hold and release
Press and hold a card and let go without moving: the quick actions menu opens. iPhone, iPad and Mac only
- Repeats and habits can only be moved in time, and every day of the series gets the new time. The app asks first: “The time will change for every day of the series”.
- All-day events and events from your phone calendar can’t be moved with gestures.
- In the web app you can draw a new event by dragging across the grid, while existing cards are changed through the form.
- 📅
Event menu
“Move to tomorrow” (for one-off events), “Time” (start and duration), “Open link” and “Copy link”, “Edit”, “Duplicate”, “Pin to Live Activity”, “Pin to widget”, “Delete”.
- ✅
Task menu
“Time”, “Remove from calendar” (clears the time, the task stays on its day), “Move to today”, “Move to tomorrow”, “Due date…”, “Priority”, “Labels…”, “Move to…”, “Delete”.
- 💧
Habit menu
“Mark as done” or “Unmark”, “Time”, “Edit”, “Finish” or “Resume”, “Delete”.
Phone calendar
So you don’t have to keep two calendars, MyLife shows system calendar events next to its own: Apple Calendar on iPhone, iPad and Mac, or your phone’s calendar on Android.
- Where to turn it on: “Settings” → “Sync” → “Apple Calendar” on Apple devices, and on Android via the view settings button in the calendar. The app will ask for calendar access.
- Choosing calendars: keep the ones you need (work, personal, holidays) and turn off the rest.
- View only: these events sit in the grid in their own color, but you edit them in the system calendar. “Edit” opens it on the right date.
- Repeats and reminders come from the system, including the repeat end date.
- One way only: MyLife events don’t go into the system calendar.
Links to other sections
The calendar affects your Life Areas radar and XP, shows up on the Home Screen and is stored in your account.
- Life Areas: minutes of an event with a life area count toward the radar. A repeating event counts for every occurrence, so regular workouts weigh more than one-off ones. A life area’s events are also shown on its screen.
- XP: 2 points for a new event, no more than 10 XP a day. If you delete the event within the first 3 minutes, MyLife takes that XP back.
- The assistant knows your events: ask “What do I have tomorrow?” or ask it to add a meeting.
- Sync: events are the same on all devices with your account. Offline edits are sent as soon as you’re back online.
