Step 1

What you can share

You can share three things. Members can use different devices: one on iPhone, another on Android, a third in the browser.

  • 👨‍👩‍👧

    Group

A shared budget: the owner shares accounts, categories and tags with the group, and members add expenses and income to them.

    iPhone, Android, web
  • 🛒

    Task list

Groceries, packing for a trip, chores.

    iPhone, Android, web
  • 📝

    Note

A recipe, a trip plan. You can share a note from the iPhone, iPad and Mac app. On Android you can open and edit a shared note, and the web app has no notes.

    iPhone, iPad, Mac

You can't share the Inbox or a note attached to a task.

Step 2

How to invite

It works the same everywhere: an invite link that you send through any messenger.

  1. Share access

For a group, it's the group screen in your wallet. For a list, the two-people icon in the list header. For a note, the same icon in the note header.

  2. Create a link

The link can be used many times and works for 7 days. A new link cancels the old one, and “Revoke” turns it off right away.

  3. The person joins

They open the link, see the name, the owner's name and emoji and the number of members, and tap “Join”. They need a MyLife account, but not a subscription.

👥
A group, list or note can have up to 10 people, including the owner. The sharing screen shows “N of 10”.
Step 3

Groups and a shared budget

A group lets you manage money with your family or partner without merging everything into one wallet. Everyone keeps their own accounts, and only the ones the owner shares become common.

  • Create: Finance → Wallet → the two-people icon → “Create group”. Add a name and emoji. In the web app: “Settings” → “Groups”.
  • Share an account with the group with “All transactions” visibility (members see the balance and all spending) or “Own only” (each member sees only their own transactions, no balance).
  • Share categories and tags: members can use them on their transactions. Only the owner can create and edit shared categories.
  • Who added a transaction is shown by the emoji on its card. A transaction on the owner's account belongs to the owner, but the author gets the XP for it.
  • Different currencies: the amount is converted to the owner's currency at the rate on the day of the transaction.
  • One person can be in only one group per owner.

⚖️
Total balance. You can add someone else's account with “All transactions” visibility to your total balance with the “Calculate in total balance” switch. In “Family” groups it's on from the start, in others turn it on yourself. The group type is chosen in the web app.
Step 4

Roles in a group

There are three roles. The owner makes someone an admin from the “•••” menu next to the member.

Group ownership can't be transferred.

Step 5

What a member sees

Only what the owner shared. Personal accounts, subscriptions, debts and the Budget Plan stay private.

  • Shared accounts: with the balance for “All transactions”, without it for “Own only”.
  • Transactions on them: all of them or only their own.
  • Transfers, if at least one of the two accounts is shared. A non-shared account shows as “owner's personal account”.
  • The owner's categories and tags on visible transactions, including non-shared ones (for display only).
  • A life area can't be set on a transaction in a shared account.
📋
A group doesn't have a shared Budget Plan, but the owner's plan counts members' spending on the owner's shared accounts. Details in the “Budget Plan” article.
Step 6

Shared lists and notes

Members edit the content just like the owner, while the name, access and deleting stay with the owner.

  • A shared list appears for a member in the “Shared” group. Folder, order, view and archive are personal for everyone.
  • Tasks: a member adds, checks off and edits them. The author's emoji is on the card. A task reminder goes off for everyone, and the XP for checking it off goes to whoever did it.
  • The owner's labels and life areas aren't visible to members. You can't move tasks between a shared list and a personal one.
  • Shared note: members edit the text and add attachments. Edits in different blocks are saved for everyone, in the same block the last one wins.
  • A shared note can't be attached to a task.

Step 7

Notifications

Notifications are on from the start. You can turn them off with the “Notifications” toggle on the sharing screen, and each member has their own.

  • 👨‍👩‍👧

    Group

“New member” goes to the owner and admins.

  • 🛒

    List

New tasks: “Anna: Milk, Bread… and 2 more”. One push per author every 2 minutes. Plus new members.

  • 📝

    Note

“Anna is editing the note”, also no more than once every 2 minutes. Plus new members.

There are no notifications about checking off, deleting, leaving or removing. The web app has no push notifications.

Step 8

PRO and view-only

Only the person who shares needs a subscription. Members and admins don't: the owner's PRO covers them.

  • 👨‍👩‍👧

Create a group and share accounts

    No subscription needed.

  • 🔗

    Group invite link

The owner or an admin creates it, but it needs the owner's PRO.

    Share a list or note

You can revoke the link without a subscription too.

  • 🙋

    Join and use it

    Only an account is needed.

👀
When the owner's PRO ends, everything works as before for three days. After that, members can only view: they can't add transactions to someone else's accounts in a group, add or check off tasks in a list, or edit a note's text. New people can't join by link. No data is lost, and everything works again after renewal. If the purchase is refunded, access closes right away.
Step 9

Leaving and deleting

What happens to the data when someone leaves.

  • A member left or was removed: their transactions on the owner's accounts stay with the owner, marked with the author. The owner's categories and tags on the member's personal transactions become the member's own copies.
  • The owner stopped sharing an account: its transactions stay with the owner, and members no longer see the account.
  • The group is deleted: for everyone it's the same as leaving. The owner's accounts and transactions stay.
  • List or note: “Leave” removes it for you. “Stop sharing” leaves the owner a personal copy. If the owner deletes it, it's gone for everyone.
FAQ

FAQ

Do all members need a subscription?
No, only the owner of the group, list or note. A free MyLife account is enough for a member.
Which devices support sharing?
Groups and shared lists work on iPhone, iPad, Mac, Android and in the web app. You can share notes from the iPhone, iPad and Mac app, and open and edit a shared note on Android.
Will my family see my personal spending?
No. Members only see the accounts shared with the group, and with “Own only” visibility they only see their own transactions on them.
Why isn't someone else's account included in my balance?
Turn on “Calculate in total balance” for it. It's on from the start only in “Family” groups, in others you turn it on manually.
The link doesn't work. What should I do?
A link works for 7 days and stops working when a new one is created or it's revoked. It also doesn't let new people in if the owner's subscription has ended. Ask for a fresh link.
How many people can I invite?
Up to 10, including the owner, in each group, list and note.
What happens to my transactions if I leave a group?
Transactions on the owner's accounts stay with the owner, marked as added by you. Your personal transactions stay with you, and the owner's categories on them become your copies.
Can I hand a group over to someone else?
No, a group's owner never changes. You can appoint an admin: they invite and remove members and change the name.
